Transcript Information
Important ! ~ During peak seasons (Fall and Spring), transcript requests may take 10 to 15 business days to process. Please plan ahead as much as possible.
For students before 1987, please allow more time for processing since archived data is on Microfilm.
Official Transcript Ordering Information
To order official transcript(s), print and fill out the Transcript Request Form or pickup a copy of the form at the Records Office.
If you cannot print the Transcript Request Form, please type and submit the following information:
- Full name including middle name and previous name used at Cal Poly
- Social Security Number / Student ID Number
- Date of Birth
- Years of attendance at Cal Poly, or an approximation
- Signature -- mandatory
- Current mailing address and phone number
- Send-to address and number of transcripts you are requesting to each address
Payment must be included with your order for Official Transcripts:
Pay by cash, check, money order, or credit card. Payment must be made through the State Cashier's Office prior to submitting a transcript request (for credit card payments, read below). Check or money order payments should be made payable to "Cal Poly". The receipt from the State Cashier must then be submitted with the transcript request form. If your request is mailed, the check or money order should be included with your request or your reference number should be cited on your request.
Credit Card/ECheck option:
As of August 1, 2003, Master Card, Discover & American Express credit cards will be accepted. For credit card orders, there will be an added service charge of 3.15% of the total amount charged. The CashNet/ECheck check writing system allows payment with a virtual check. There is no added charge for this payment option. If your enrollment at Cal Poly was BEFORE 1988 and you would like to pay for transcripts with a credit card or with ECheck, you must first contact the Office of Academic Records at (805) 756-2531 to have a current account established. PLEASE reference proof of payment with your transcript request. All Online payments may be made through CASHNet/SMARTPAY. (Credit cards accepted: MasterCard, Discover & American Express).

Payment or reference number MUST be included with transcript order.

$2.00 each ............... additional copies (# 2-10)
$1.00 each ............... for copies (# 11-30)

1 copy costs $4.00
2 copies cost $6.00
11 copies cost $23.00

Or drop off your transcript request form along with proof of payment to the Records Office window.
Each Official Transcript is placed into a separate envelope. These are special envelopes and will have a seal placed across the back of the envelope. It is not necessary for you to include a return envelope.
How to Expedite Your Transcript Order
Send your request and payment via UPS Letter, Federal Express, Express Mail, or other express service with a return express service envelope (prepaid and pre-addressed) enclosed. Incoming express requests are processed and mailed the next business day.
You may fax in your order to (805) 756-7237 ONLY if you have paid by credit card. Be sure to include the reference number given to you by the automated credit card payment line. This will eliminate the mailing time and your request will be treated on a first-come, first-serve basis.
PHONE ORDERS ARE NOT ACCEPTED because your signature is required.
Transcript Holds
Transcript holds may be placed on a student's record because of financial or other obligations to the university. A transcript hold requires our office to withhold any transcript request, unprocessed, until the obligation is cleared to the satisfaction of the office or department placing the hold. Transcript requests will be held at the Office of Academic Records for a maximum of 30 days before being returned to the student. Students receiving student loans are required to complete an Exit Interview. (A transcript hold may be placed on the student's record if the Exit Interview has not been completed.)
Students may use my.calpoly.edu to check on the status of holds.
